Separate technical handover from operational handover. Confirm that the equipment has been installed and commissioned under the appropriate technical process, then make sure the workplace knows who owns daily administration, how employees get access, how shared charging time is allocated, where faults are reported and when the charging setup will be reviewed.
Installation complete does not mean operations complete
An installer can finish the electrical work and successfully commission the chargers while several operational questions remain unanswered.
- Who administers the workplace charging service?
- Who may use the chargers?
- How do users get access?
- Are chargers first-come-first-served or bookable?
- How long may vehicles use charging spaces?
- Who handles faults?
- Who maintains the equipment?
- What happens when more employees want to charge than the existing setup can serve?
Resolving those questions is part of turning installed equipment into a usable workplace service.
1. Complete the technical handover
The technical handover should follow the charger manufacturer's instructions, applicable regulations and the installer's normal commissioning process.
Depending on the project, the customer may need installation documentation, equipment instructions, warranty information, charger or backend access details and confirmation of who provides technical support.
Charge Roster does not replace any of those technical handover requirements.
2. Identify the operational owner
Name the person or team responsible for the workplace charging service after the installer leaves.
Possible owners may include:
- Facilities
- Workplace operations
- Fleet
- Sustainability
- A charging-service provider
- The installer or charging partner under an ongoing service arrangement
The important point is that employees know who makes operational decisions and that responsibility does not remain ambiguous after handover.
3. Define user access
Decide who can use the workplace chargers and how access is granted.
Questions:
- Employees only or other users as well?
- Are company vehicles included?
- Can visitors charge?
- Does each user need an account, app, RFID card or other credential?
- Are different workplace sites restricted to different groups?
Hardware authentication and workplace eligibility may be handled by different systems. Make sure the customer understands which system controls each part.
4. Decide how shared charging time works
When there are more potential drivers than chargers, the workplace needs an allocation model.
Options include:
- First-come-first-served
- Reservations
- Time limits
- Assigned periods
- A queue
- A combination of these approaches
The best approach depends on how often charger demand exceeds availability and how predictable employees need access to be.
5. Publish the workplace charging rules
Employees should not have to learn the charging policy through trial and error.
At minimum communicate:
- Eligibility
- Available charging hours
- Booking or sharing method
- Maximum duration where applicable
- Cancellation expectations
- When a charging space needs to be released
- Rules about disconnecting other vehicles
- Fault reporting
- Any pricing arrangement
6. Establish support boundaries
The customer should know which problem goes to which provider.

Exact responsibilities vary by contract and deployment. Document the actual support model used at the site.
7. Decide how involved the installer remains
Handover does not have to mean disappearing from the customer relationship.
Some installers provide only installation and technical support. Others remain involved in charger management or a broader workplace charging service. In other cases, the customer takes full day-to-day ownership.
Define this deliberately. The customer should know who manages the workplace service, while the installer should know which responsibilities remain within its scope.
8. Review what happens when demand changes
The workplace charging setup that works on day one may not be sufficient when more employees begin driving EVs.
Review both hardware performance and the way charging time is being shared.
Operational signals include:
- Busy periods
- Unused or cancelled reservations
- Repeated conflicts around the same charging periods
- Requests for charging time that cannot be accommodated
- New employees requesting access
- Additional workplace sites or chargers
Recurring unmet demand after the existing charging time is being shared effectively is a useful trigger for a capacity conversation.
Workplace charger handover checklist
- Technical commissioning completed under the appropriate procedure
- Customer has required equipment and warranty documentation
- Technical support contacts are known
- Operational owner is identified
- Eligible charging users are defined
- User access method is understood
- Shared-charger allocation model is defined
- Charging policy is published
- Booking or time-limit rules are configured where used
- Fault-reporting process is communicated
- Installer/customer responsibilities are documented
- A future review point for charging demand is agreed
