EV charging reservation systems for workplaces

An EV charging reservation system lets drivers claim charging time before they need it. For workplaces with more drivers than chargers, reservations can replace uncertainty with a visible schedule — but only if the booking rules match how people actually use the site.

In short

A workplace EV charging reservation system shows when shared chargers are available and lets eligible drivers reserve a defined period. It is most useful when employees need predictable access and several people regularly compete for the same chargers. A reservation system does not automatically need to control the charger hardware: scheduling access and controlling a charging session are separate functions.

What does an EV charging reservation system do?

At its simplest, the system turns charger availability into bookable time. Instead of arriving at work and checking whether a charging space happens to be free, an employee can see the schedule before making a charging plan.

A workplace reservation system typically needs to answer five questions clearly:

  • Which chargers can this driver use?
  • When is charging time available?
  • How far ahead can the driver reserve it?
  • How long can the reservation last?
  • When does the charger need to become available for the next driver?

The value comes from everyone using the same schedule and the same rules.

A reservation is not the same as charger control

The word “reservation” can describe different technical things in EV charging. A charge point management system may support charger-level reservation or remote charger commands. A workplace booking system can instead reserve access to a period in a shared schedule.

Those are not the same function.

A scheduling reservation can tell employees that Charger 2 is allocated to Driver A from 10:00 to 12:00 without electronically locking Charger 2, starting a charging session or preventing someone from physically connecting a vehicle.

Before choosing software, decide whether the workplace actually needs hardware control or whether the main problem is coordinating who should use the charger and when.

When are reservations useful?

Reservations become more useful as charger access becomes less predictable.

  • Several employees regularly need the same small pool of chargers
  • Drivers need to know before arriving whether charging will be available
  • Cars remain at the workplace for long periods even though they need only part of that time to charge
  • Employees currently coordinate through messages or physical charger checks
  • First-come-first-served access repeatedly favours the same arrival times
  • The workplace needs to see when requested charging time cannot be accommodated

A workplace where chargers are almost always available may not need reservations at all. The additional process is justified when predictability and fair sharing solve a real problem.

Reservations versus first-come-first-served

First-come-first-served charging has one major advantage: it is simple. A driver sees a free charger and uses it.

Its weakness appears when demand increases. Employees who arrive earlier may repeatedly occupy the best charging periods, while another driver can commute to work expecting to charge and find no suitable availability.

Reservations trade some spontaneity for predictability. Drivers know their start and end times, and the workplace has a clearer way to divide the same charging capacity between several people.

Reservations versus a queue

A queue answers “who gets the charger next?” A reservation answers “when will I get the charger?”

Queues can work well when drivers are already at the workplace and can respond when a charger becomes free. Reservations are more suitable when employees want to plan charging before the day or around meetings, commuting and other responsibilities.

Some workplaces may eventually use both approaches. The important point is to solve the actual coordination problem rather than adding complexity for its own sake.

What should workplace reservation software support?

Evaluate the rules around the reservation before evaluating feature count.

  • A shared view of charger availability
  • A clear reservation start and end time
  • Booking windows that define how far ahead employees may reserve
  • Allowed reservation durations
  • Conflict prevention so the same charging time is not allocated twice
  • Cancellation so unused time can return to the schedule
  • Access rules for different workplace sites or groups
  • A way for administrators to manage chargers and booking rules
  • Visibility into charging requests that could not be accommodated
  • A usable employee experience on the devices employees actually carry

Do you need a CPMS, a reservation system or both?

A charge point management system and a workplace reservation system solve different problems.

A workplace may use both systems, or it may need only one. If the chargers already work satisfactorily and the unresolved problem is simply who gets charging time, a hardware-independent scheduling layer can be enough.

Worked example: three chargers and ten drivers

Imagine ten employees have access to three workplace chargers. All ten cars can remain parked for most of an eight-hour workday, but each driver needs only a portion of that time for workplace charging.

With no shared schedule, employees may try the chargers when they arrive, message colleagues or leave vehicles connected for longer than necessary because nobody knows who needs the space next.

With reservations, the workplace can expose the available periods across the three chargers. Drivers select a suitable start time and duration. When a reservation ends, the schedule makes the next expected charging turn visible.

The reservation system has not created more chargers. It has made the existing charging time easier to allocate.

Questions to ask before choosing a system

  • Are we solving a scheduling problem or a hardware-control problem?
  • Do employees need guaranteed planning visibility before arriving?
  • How far ahead should reservations be possible?
  • What reservation durations make sense at this workplace?
  • What should happen when an employee no longer needs a booking?
  • Can employees charge at more than one site?
  • Do we need charger telemetry or only scheduled availability?
  • Do we need payment or energy metering?
  • How will we identify demand that the schedule cannot accommodate?
  • Can we use the chargers we already have?
