Can Google Calendar be used to book an EV charger?
Yes. Google Calendar supports calendars for rooms and shared spaces, and Google Workspace organisations can also expose rooms and other resources that employees add to events.
Google's own documentation says a shared-space calendar can let people reserve time and can be configured to auto-accept invitations that do not conflict with an existing event.

That maps naturally to a small workplace charging setup:
- Charger 1 has a calendar.
- Charger 2 has a calendar.
- Charger 3 has a calendar.
- An employee creates an event for the desired charging period.
- The relevant charger calendar accepts the event only if the period is available.
This is a scheduling workaround, not charger integration. Google Calendar knows what people have reserved, not what the charger is physically doing.
Choose the right Google Calendar model
There are two practical approaches.
Option A: a managed Google Workspace resource per charger
For an organisation already using Google Workspace, this is the cleaner model.
The administrator represents each charger as a room/resource that employees can add to an event. Google Calendar then uses the resource's calendar to determine whether the requested time conflicts with another booking.
Use names that connect the digital resource to the physical bay, for example:
EV Charger 01 — Parking B1EV Charger 02 — Parking B2EV Charger 03 — Visitor side
This works best when employees already understand how to book meeting rooms or other resources in Calendar.
Option B: a shared calendar per charger
A smaller team can create an ordinary calendar for each charger and share it with the employees who need access.
Google documents this pattern for shared spaces. The calendar can be set to auto-accept invitations that do not conflict, and periods when the resource is unavailable can be blocked with events such as Closed or Maintenance.
This is simpler to set up but can require more manual permission management than a centrally administered Workspace resource model.
Do not confuse charger booking with Google Appointment Schedules
Google also offers Appointment Schedules, which create a booking page where people choose from a person's or calendar's available appointment times.
That sounds attractive for charger booking, but there is an important limitation: Google's current Appointment Schedule documentation says appointments cannot be added to resource calendars.
For workplace chargers, the resource-calendar model is therefore usually more direct. The charger is the thing being reserved, so represent the charger as the resource instead of pretending it is a person offering appointments.
Step 1: create one resource or calendar per physical charger
Avoid one generic EV charging calendar if employees ultimately need to know which connector or bay they should use.
A one-to-one mapping gives you:
- a clear physical destination;
- conflict checking per charger;
- an understandable daily schedule;
- easier maintenance blocks;
- a simple way to investigate who reserved a period.
If two connectors are genuinely interchangeable and always operate as one pool, you can model them differently, but individual resources are easier to reason about for most small workplaces.
Step 2: configure conflict handling
For a shared-space calendar, Google's documented setting Auto-accept invitations that do not conflict is the useful starting point.
With that configuration, a new event is accepted when the calendar is free and a conflicting request is not accepted as if both employees owned the same period.
Do not use the setting that simply adds every invitation if your goal is to prevent double booking.
For Google Workspace resources, the organisation's administrator can control who is allowed to reserve the resource and how resource booking behaves.
Step 3: block hours when charging should not be booked
If a charger is unavailable outside business hours, during maintenance or because the parking bay is reserved for another purpose, block that time in the charger calendar.
Google's shared-space guidance explicitly suggests creating events such as Closed for times when the space is not available.
That is useful for planned maintenance, but remember the limitation: a calendar block is not the same thing as live charger status.
Step 4: agree a consistent booking format
A simple event convention makes a manual calendar much easier to scan.

Avoid putting unnecessary personal information, home addresses, journey details or battery information into a shared resource calendar.
Step 5: establish the rules that Calendar cannot invent for you
Google Calendar can tell you whether a time is already booked. It does not know the workplace's fairness policy.
Decide:
- who may use the chargers;
- how far ahead employees should reserve;
- how long one charging turn normally lasts;
- whether recurring reservations are allowed;
- when unused bookings should be cancelled;
- when the car needs to leave the charging bay;
- whether any operational priority exists.
If those rules live only in people's memory, the calendar will not make the process fair by itself.
A worked example
Imagine a workplace with two chargers and eight EV drivers.
The chargers are set up as:

The workplace uses two-hour charging turns between 08:00 and 18:00.
On Monday:
- Maya reserves Charger 01 from 08:00–10:00.
- Leo reserves Charger 02 from 08:00–10:00.
- Priya sees both resources as occupied at 09:00 and instead reserves Charger 01 from 10:00–12:00.
- Maya later changes plans and deletes her event, returning the first period to the shared calendar.
For a small team, this may be all the structure required.
What Google Calendar does well
Familiar employee interface
The booking sits in the calendar employees already use.
Basic conflict prevention
A resource or shared-space calendar can reject or avoid overlapping reservations rather than relying on a separate spreadsheet.
Easy planned unavailability
Maintenance or closed hours can be represented as normal blocked events.
Low setup cost
If Google Workspace is already deployed, the organisation may not need another tool just to test whether structured charger reservations improve the situation.
Calendar notifications and mobile access
Employees already receive Calendar reminders and can see their booking with the rest of their day.
Where the workaround becomes inconvenient
Finding any available charger is harder than booking one known charger
A user may have to inspect several calendars or resources to answer a simple question: “Where can I charge from 11:00 to 13:00?”
A charger-specific scheduling system can search availability across chargers instead of making the employee compare resources manually.
Generic calendars do not manage fair access well
A calendar can stop two people booking the same slot, but it does not naturally enforce rules such as:
- one prime-time booking per employee;
- a limit on simultaneous future reservations;
- priority only for a defined operational case;
- equitable access across repeated high-demand days.
A cancelled event does not create a waitlist workflow
The time becomes free, but the next person who wanted it may never know unless they keep checking the calendar or someone sends a message.
Unmet demand disappears
If an employee sees everything is full and gives up, the calendar records nothing. The workplace cannot distinguish “nobody wanted more charging” from “five people wanted charging but stopped trying”.
Calendar availability is not charger telemetry
The calendar does not know whether a car is actually plugged in, whether the charger is offline or whether the reservation was used.
Coordination can leak back into chat
When exceptions occur, teams often fall back to Slack, Teams or email: “Are you still using Charger 2?” That is a sign the calendar is no longer carrying the whole operational process.
When is Google Calendar enough?
Keep the calendar approach when:
- there are only a few chargers;
- employees already use Google Calendar every day;
- conflicts are occasional rather than constant;
- people are willing to book a specific charger;
- a simple written fair-use policy is enough;
- administrators do not need demand analytics or waitlists.
A general-purpose tool is perfectly reasonable while the process remains simple.
When should you move to dedicated booking?
A charger-specific scheduler becomes more valuable when:
- drivers repeatedly compare several calendars;
- popular periods need stronger fairness controls;
- cancellations should automatically surface to waiting drivers;
- employees want to search by required time rather than specific charger;
- the workplace needs to quantify requests it could not serve;
- several sites need one consistent process;
- chat messages continue despite the calendar.
The right time to move is when maintaining the workaround starts costing more attention than the dedicated workflow would save.
Where Charge Roster fits
Charge Roster keeps the useful concept of a shared schedule but makes it specific to workplace charging. Employees see available charging periods and reserve them, while workplace rules and unmet demand are kept in the same charging context.
It does not require the charger to be controlled through Google Calendar or OCPP simply to coordinate time.
